Copilot's own meeting recap is useful, and many firms already have it. This agent does what the recap doesn't: your template, filed in the right place with your naming, the tasks created, the client record updated and nothing filed until the adviser approves.
What starts it
It starts on its own.
Standard trigger
The calendar event has your firm's “Client meeting” category.
- The brief posts 24 hours before the meeting.
- The file note starts when the Teams meeting ends.
- A rule can add the category automatically for meetings with someone from a known client's email domain.
It could also start when
- The meeting is linked to a client record in your CRM
- The meeting was booked through a client booking page that sets the category
- For face-to-face meetings, a recording or notes emailed to a meetings mailbox
Manual fallback
Paste your notes, or upload a transcript to the agent in Teams.
-

-

Decisions, actions with owners, changed circumstances and any risk or complaint language are extracted. The file note is drafted in your template, with a follow-up email.
-
Your team approves
The adviser approves or amends it in Teams.
-
Action
The note is filed to the client folder with your naming, tasks are created, changed record fields are updated and the follow-up is placed in drafts (not sent).
What it does
The day before a client meeting, the agent reads the client folder, recent emails and open actions and sends the adviser a one-page brief in Teams. When the meeting ends it drafts the file note in your template with the actions and a follow-up email, and files, tasks and updates the record only once the adviser approves.
Where your team approves
Before anything is filed or sent.
You decide what each agent may do on its own and where a person has to approve. By default, anything that goes to a client or raises a bill waits for one of your team.

- Tasks
Set up for your firm
- Your file note template
- The category name
- Folder and naming convention
- Which record fields to update
- The tone of the follow-up
Today
The adviser digs through email before the meeting, writes the note from memory later and types the actions into three places. The follow-up slips. A regulated file note can take 60 to 90 minutes and lags the meeting by days.
With the agent
The brief is waiting the day before, and the note is drafted minutes after the meeting. Actions and record updates happen on approval, in the same format, on the same day.
Worked example
What it could give back to your firm.
Worked example
- Client meetings a year
- 920
- Hours back a year
- 690
- Value of that time a year
- £82,800
Illustrative defaults. Put in your own numbers.
How it's worked out
- Meetings = fee earners × meetings per person per week × working weeks.
- Hours = meetings × ((prep now − prep with the brief) + (write-up now − write-up with the agent)) ÷ 60.
- Value = hours × value of an hour.
